In this guide, you’ll learn how to create your workspace, add team members to your workspace, create channels, manage your subscription, and upgrade your plan.

Voicenotes is a smart note-taking and collaboration app designed to help you organize and manage meetings, calls, lectures, and important conversations—so you can focus on what matters and work more efficiently, no matter where you are.

Voicenotes for Teams lets you get the most out of every meeting by recording, transcribing, summarizing, and extracting insights instantly.

In this guide, you’ll learn how to:

  1. Create your workspace

Step 1: Create Your Workspace

A workspace in Voicenotes is a single space for all your notes and recordings. You can add your team members, create channels, and manage your subscription, all in one place.

  1. Sign Up: Go to https://voicenotes.com/teams and create a Voicenotes for Teams account using your email.

  2. Choose Your Use Case: Once you sign up, you’ll be asked to choose how you wish to use Voicenotes. Select the ‘For my team’ option, then click ‘Continue’ to proceed with setting up your workspace.

  3. Name Your Workspace: Enter the name of your company or organization. You can also upload a logo or choose an icon to represent your workspace. Click ‘Continue’.

Step 2: Invite Your Team Members

Voicenotes allows you to invite unlimited team members at no additional cost—designed for the whole team to use and enjoy.

  1. Add Team Members: Enter your team members' email addresses.

  2. Click ‘+ Add Email’ to continue adding members, then select ‘Send Invite’. An email invitation will be sent to each team member, allowing them to join your workspace.

  3. Skip for Later: If you’re not ready to invite everyone yet, select ‘Skip for now’. You can always add members later from your profile.

  4. Payment and Free Trial: Next, you can activate the 7-Day Free Trial of the Team Plan on the payment page. Enter your card details and start the trial—remember, you can always cancel before the trial period is over.

  5. Once your payment details are successfully added, you’ll see a Thank You message. Click ‘Continue to Voicenotes’ in the top right corner.

And just like that, you’re ready to record your very first meeting! Voila!

Pro Tip: Keep track of the number of minutes you’ve used in your plan using the monitor on the right side of your Voicenotes interface.

Step 3: Create Channels in Your Workspace

Channels help you organize meetings and keep conversations focused. You can try creating separate channels for different teams while maintaining a #general channel for everyone.

  1. Select ‘+ Create new channel’.

  2. Enter the channel name and click ‘Save’.

Tip: All new channels are public by default, so consider setting internal guidelines for naming channels to keep things organized.

Step 4: Manage your subscription and upgrade your plan

Now that you're caught up on the basics of setting up your workspace, you can go ahead and explore the scope of the settings and move things around. On the top-right corner, you can click on your profile and configure the settings from the options available. You can manage your plan or upgrade to a higher plan in these quick steps.

  1. Go to your profile and scroll down to the Workspace category.

  2. Select 'Your Plan’.

  3. Choose the subscription that matches your requirements and proceed to checkout.
