How to record a Zoom meeting with Voicenotes

Voicenotes can record your Zoom meetings from the Desktop app (Mac & Windows) and turn them into notes, summaries, and searchable transcripts.

Once the Mac app is installed and running on your system, it can auto-detect when you’re in a Zoom meeting and ask if you’d like to record. You don’t need to invite a bot to the call or set up a Zoom integration. If you're on Linux, you can record Zoom meetings happening in the browser using our extension too.

Before you start

To record Zoom meetings with Voicenotes, you’ll need:

  • The Voicenotes Mac app

  • The Zoom desktop app

  • Required permissions enabled for Voicenotes

  • Voicenotes running in the background

For the best experience, make sure both Zoom and Voicenotes apps are updated to the latest version.

How Voicenotes records Zoom meetings

Voicenotes records from your Mac while you’re in the meeting. This means it can capture the conversation without joining your Zoom call as a separate participant.

When Zoom starts, Voicenotes detects the meeting and shows a prompt asking if you want to record it. If you choose to record, Voicenotes captures the meeting audio in the background, generates live transcripts, and processes it into detailed meeting summary after the recording is saved.

This is useful because your meeting can stay focused. You don’t need to manage a separate notetaker bot or wait until after the call to start organizing what was discussed.

Record a Zoom meeting

To record a Zoom meeting with Voicenotes:

  1. Open the Voicenotes Mac/Windows app.

  2. Start or join your Zoom meeting.

  3. When Voicenotes detects the meeting, you’ll see a prompt asking if you’d like to record.

  4. Click Record.

  5. Continue your meeting as usual.

  6. When the meeting ends, stop and save the recording in Voicenotes.

  7. Voicenotes will process the recording and generate your meeting note.

Once processing is complete, you’ll be able to open the meeting in Voicenotes and review the transcript, summary, and other generated notes.

What you get after the meeting

After your Zoom meeting is saved, Voicenotes can generate:

  • A full transcript of the conversation

  • A meeting summary

  • Key points from the discussion

  • Action items

  • Decisions and follow-ups

  • A searchable note you can come back to later

You can use the transcript when you need the exact details, and the summary when you just want a quick review of what happened.

Use live transcript during the meeting

While the meeting is happening, you can open Voicenotes to follow the live transcript.

This is helpful when you want to quickly check what was just said, catch up after missing a detail, or follow along without interrupting the conversation.

The live transcript is especially useful for longer meetings where you don’t want to wait until the end to start reviewing what was discussed.

Ask AI about your meeting

You can Ask AI anything about the topics discussed in the meeting while the meeting is running or after. During the meeting, you can ask the AI to recap what has been discussed so far or for any specific details you want to clarify. After the meeting is recorded, you can use Ask AI to ask questions about the conversation.

For example, you can ask:

  • “What did we decide about the launch date?”

  • “What are my action items from this meeting?”

  • “Summarize the customer’s main concerns.”

  • “Draft a follow-up email from this meeting.”

  • “What questions were left unresolved?”

Ask AI answers from the meeting content, so you don’t have to scroll through the full transcript every time you need a detail.

Tips for better Zoom recordings

Keep Voicenotes open in the background

Voicenotes needs to be running so it can detect your Zoom meeting and show the recording prompt.

Check your microphone permission

If Voicenotes can’t access your microphone, it may not be able to capture the meeting properly.

On your Mac, go to:

System Settings → Privacy & Security → Microphone

Then make sure Voicenotes is enabled.

Use clear audio

Meeting transcription works best when the audio is clear. If you’re using headphones or an external mic, make sure Zoom is using the correct input and output devices.

Start recording early

Start recording at the beginning of the meeting so your transcript and summary include the full context.

Review important notes before sharing

Voicenotes helps create a strong first draft of your meeting record, but it’s still worth reviewing important names, numbers, deadlines, and commitments before sharing notes with others.

Recording consent

Voicenotes does not join your Zoom meeting as a visible bot.

You are responsible for following local laws, workplace policies, and meeting expectations around recording consent. In many cases, it’s a good idea to let participants know that you’re using Voicenotes to record and summarize the meeting.

A simple line at the start of the call works well:

“I’m using Voicenotes to record and summarize this meeting so I don’t miss anything.”

Troubleshooting

Voicenotes didn’t detect my Zoom meeting

Please check that:

  • You’re using the Zoom desktop app

  • Voicenotes is open and running in the background

  • You’re signed in to Voicenotes

  • You’re using the latest version of the Voicenotes Mac app

If the prompt still doesn’t appear, try quitting and reopening Voicenotes before your next meeting.

The recording didn’t start

Make sure you clicked Record on the Voicenotes prompt. Voicenotes will only start recording after you confirm.

Also check that microphone permission is enabled for Voicenotes in your Mac settings.

The transcript is missing some audio

This can happen if your audio device or microphone wasn’t captured clearly.

Please check:

  • Zoom is using the correct microphone

  • Your Mac microphone permission is enabled for Voicenotes

  • Your headphones or external mic are connected properly

  • Background noise is not too loud

Do I need to connect my Zoom account to Voicenotes?

No. Voicenotes records from your Mac while you’re in the meeting, so you don’t need to connect your Zoom account.

Does Voicenotes join my Zoom meeting as a bot?

No. Voicenotes does not join as a separate participant. It records from your device.

Does this work if I’m not the Zoom host?

Yes. Since Voicenotes records from your Mac, you can use it for meetings you join as a participant.

You should still follow any recording consent rules that apply to your meeting.

Can I see the transcript while the meeting is happening?

Yes. You can open Voicenotes during the meeting to view the live transcript.

What happens after I save the recording?

Voicenotes processes the meeting and creates a note with the transcript, summary, and other AI-generated outputs.

Can I ask questions about the meeting?

Yes. Open the meeting note and use Ask AI to ask questions about the transcript, decisions, action items, or follow-ups. You can use Ask AI during the meeting or after.

Can I share the meeting notes with others?

Yes. You can share the meeting note or copy the generated summary, transcript, or action items depending on what you want to send.

Does Voicenotes work with Zoom in the browser?

For automatic meeting detection, we recommend using the Zoom desktop app on Mac.

What should I do if recording still doesn’t work?

Please update Voicenotes to the latest version and check microphone and screensharing permissions.
