How to make a data protection complaint

How to raise a complaint about how Voicenotes handles your personal information and what to expect from our process.

If you are concerned about how Voicenotes has collected, used, stored, secured, shared or otherwise handled your personal information, you can make a data protection complaint.

What can I complain about?

You can complain about matters including:

• how we responded to a request to access, correct, delete, restrict or export your personal information;

• the security of your personal information or a suspected data breach;

• how we collected, used, shared, stored or retained your personal information;

• inaccurate or incomplete personal information; or

• marketing messages or other uses of your personal information.

You do not need to use legal terminology or refer to a particular law. If we are unsure whether you are making a data protection complaint, we may ask you to clarify.

How to make a complaint

You can make a complaint by:

• emailing [email protected] with the subject “Data Protection Complaint”; or

Please include, where possible:

• your name and the email address associated with your Voicenotes account;

• what happened and when;

• the personal information or Voicenotes feature involved;

• any relevant reference numbers, messages or screenshots; and

• how you would like us to resolve the matter.

Please do not send us your password, authentication codes or complete payment-card details.

If you are complaining on behalf of another person, we may ask for evidence that you are authorised to act for them. We may also ask for information needed to confirm identity before disclosing personal information.

What happens next?

We will acknowledge your complaint within 30 days of receiving it. Our investigation begins when we receive the complaint. We will investigate appropriately and without undue delay, keep you informed of material progress or delays, and communicate the outcome of our investigation.

If you are dissatisfied with our response, you may complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/, or to your applicable local data-protection authority.
