How to connect Microsoft Outlook to Voicenotes

In this guide, you’ll learn how to connect your Outlook calendar to Voicenotes and enable automatic meeting notes.

Connecting your Outlook account allows Voicenotes to detect upcoming meetings, join them for you (if enabled), and email summaries once your transcript is ready.

Step 1: Open your Voicenotes settings

  1. In the Voicenotes app, go to Settings.

  2. Select Integrations & Automations.

  3. Choose Calendars.

Step 2: Start connecting your Outlook calendar

Inside the Calendars section, you’ll see both Google Calendar and Microsoft Outlook.

Click Connect next to Microsoft Outlook (Beta).

Step 3: Sign in with your Microsoft account

You’ll be redirected to Microsoft’s secure sign-in page.
Select the account you want to connect.

Step 4: Grant permissions

Microsoft will ask you to confirm the permissions Voicenotes needs, including:

  • Read your profile

  • Maintain access to data you’ve granted

  • Read your calendars

These allow Voicenotes to detect your upcoming meetings and prepare to join them on your behalf.

Click Accept to continue.

Step 5: Confirm your connection

Once approved, you’ll return to Voicenotes and see a confirmation message.

Your Outlook account will now appear under Account in the Calendars settings.

Step 6: Choose your auto-join preferences

With your calendar connected, you can customize how Voicenotes participates in your meetings.

If enabled, Voicenotes will automatically join your meetings and take notes for you.

You can choose:

  • All calendar events with a meeting link

  • Only events I own

Manage meeting recap emails

After each meeting is transcribed, Voicenotes can send the recap automatically.

Choose who should receive it:

  • Everyone on the invite

  • Me and recipients list

  • Only me

Turn this setting off anytime if you prefer not to send recaps automatically.

Step 8: Save your settings

Click Save to confirm your preferences.

Your Outlook calendar is now fully connected. Voicenotes will automatically detect upcoming meetings, join them for you, record them, and (if enabled) share a recap with the people you choose.
