What is the Voicenotes Meeting Bot?
The meeting bot is a powerful feature that lets Voicenotes join Zoom, Google Meet, or Microsoft Teams calls on your behalf and take notes for you. It’s especially useful if you’re running late, can’t make a meeting, or just want to stay focused without juggling transcription tools. Here's a step-by-step guide:
Step 1. Open the Web App
Go to voicenotes.com/app and log in.
⚠️ This feature is currently available on the Voicenotes web app only.
Step 2. Open the Hamburger Menu
Next to the large Record button, you’ll see a small three-line hamburger icon. Click it to open more options.
Step 3. Click “Join meeting as a bot”
From the menu that appears, choose the option labeled “Join meeting as a bot.”
Step 4. Paste Your Meeting Link
You’ll be prompted to paste a meeting link from Zoom, Google Meet, or Microsoft Teams. Simply insert the link and hit Join.
Important: The 10-Minute Window
Once you’ve submitted the meeting link and hit "Join," the bot will attempt to enter the meeting. There is a 10-minute window in which the following must happen:
The meeting must start
The bot must be admitted by the host or participant
If these two conditions aren’t met within 10 minutes, the bot will time out and leave. It won’t retry or join later, so make sure the bot is let in on time.
Step 5: Admit the Bot into the Call
The bot won’t start recording until it has been admitted to the meeting. It will appear with the name “Notetaker” by default (you can change this—see the next step).
Step 6: Let the bot record
Once admitted, the meeting bot will begin recording and transcribing automatically. It will continue until:
The meeting ends
It’s manually removed from the call
You stop the recording manually in Voicenotes
You’ll be able to view and edit the transcription later, just like any other note.
Final notes
The meeting bot works even if you're not present. You don't have to join the meeting yourself.
If the bot isn’t admitted, no recording will happen.
